GENERAL PURPOSE Accounting Associate Clerk is responsible for carrying out many of the organization's accounting and administrative functions, which include accounts payable, accounts receivable, payroll processing, contract administration, managerial accounting and job cost accounting. ESSENTIAL DUTIES& RESPONSIBILITIES Carry out the organization's accounting and administrative functions, which include accounts payable, accounts receivable, payroll processing, contract administration, managerial accounting and job cost accounting. Update and maintain payroll data, such as hours worked, overtime rates, direct deposit, misc. deductions, tax information, and job numbers for each employee.Enter data and correct time records in payroll systemBalance payroll daily and at the end of each pay periodReview payroll information and correct any errors to ensure payroll accuracy. Ensure that each employee is paid the correct amount on timeRespond to employee questions and complaintsTroubleshoot employees' payroll issuesReconcile customer accounts and ensure correct codingPrepare new invoices, correct Work in Process (WIP) reports, verify for proper approvals, and mail invoices to clientsResolve billing discrepanciesWork with customers to resolve any collection issuesAssist in development and implementation of procedures to improve accounts receivable collection proceduresUpdate and maintain customer balances on a continual basisAnswer all customer inquiries regarding receivable accountsAssist in annual audit processHelp to develop, improve, and manage an effective cost analysis administration systemAssist Accounting Associate Manager to plan, collect, and analyze data to determine costs of business functionsParticipate in preparation of annual budgetsAssist in month-end closing activities, such as journal entries and reconciliationsCode and enter all invoices associated with company projectsReceive all invoices and review for correct vendor number, general ledger code, dollar amount, and purchase orderResearch statements and approve invoicesResearch and resolve accounts payable issues with customers or vendorsResearch and resolve vendor questionsAdminister petty cashPerform account reconciliations for many of the company's general ledger accountsAdminister the company's purchasing card system including auditing expense reportsCoordinate with Customer Support Representatives and Account Executives in drafting customer agreementsEnsure that all new orders are entered in the ERP systemProcess and monitor all sales commissionsMonitor and administer all forms of service contracts to ensure timely renewal TRAINING& QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
