Role Summary:We have a great opportunity to join our team, primarily supporting the operations leadership. As Administrative Assistant, you will ensure the smooth and efficient administrative support to the assigned leadership teams. Responsibilities will be broad and changing in nature including coordinating or leading special projects; arranging details for site meetings, luncheons, and other activities; supporting conferences; and preparing presentations.Essential Responsibilities:

  • Support GE Healthcare staff member in all related administrative tasks
  • Produce correspondence, presentations, meeting agendas, emails and any external mailings
  • Handle highly confidential and sensitive information
  • Provide calendar, meeting, and conference management
  • Coordinate travel arrangements
  • Process monthly corporate card and cash expenses
  • Support with general office administration including ordering supplies and handling incoming mail
  • Support teams by training or supporting others on technology, tools, or systems used in their everyday working practices.
  • Support key projects/initiatives roll outs within assigned function
  • Aid in internal communications
  • May be asked to train other administrators as required
  • Input departmental invoices and help manage budget inquires by working closely with the financial support manager
  • Assist with job candidate interview scheduling, coordinating interview sessions, and supporting new hire orientation
  • Enter temporary support request into My Resources or other generating system.
  • Run reports in excel, access, business objects and other data gathering programs
  • Input and update data into Oracle databases
  • Provide tactical support to the operations group and support staff by answering questions on support central sites and on various internal processes and e-tools
  • Help keep organization charts up to date as directed
  • Accurately maintain customer pricing files and complete contract data entry
  • Create statistics, send out customer brochures or correspondence, or document leadsQuality Specific Goals
    • Aware of and comply with the GEHC Quality Manual, Quality Management System, Quality Management Policy, Quality Goals, and applicable laws and regulations as they apply to this job type/position
    • Complete all planned Quality Compliance training within the defined deadlines
    • Identify and report any quality or compliance concerns and take immediate corrective action as requiredQualifications/Requirements:
      • Bachelor Degree and minimum of 1 year administrative experience; OR High School diploma/GED or local equivalent with a minimum of 3 years administrative experience
      • Strong demonstrated writing skills, articulating complex ideas in an easy to understand manner.
      • Demonstrated project management skills to plan and deliver on established tactical and strategic goals.
      • Experience at an advanced level using Microsoft Word and PowerPoint applications as well as use of the internet and web applications (i.e. ability to draft correspondence and create PowerPoint presentations for leadership team); basic level of Excel application to create charts, diagrams and tables of data.
      • Strong working knowledge of local language (written and verbal).Desired Characteristics:
        • Bachelor Degree
        • Multiple years experience working in administration, office management, or related field in a corporate or professional business environment.
        • Excellent administrative and interpersonal skills, with ability and confidence to effectively interface with senior management and high profile clients.
