Job Description:

The Business Assistant III primary duty is to support the Center for Persons with Disabilities (CPD) in facilitating the activities for new employees from advertising to acceptance and then to on-boarding.  Additionally, the position will support current employees by communicating and coordinating employee, leave, and benefit polices. 

 

Interprets/explains USU policies, federal policies, and state policies as designated to faculty, administration, and staff in a clear and understandable manner.


Acts as the subject matter expert in benefits/personnel policies and provides other personnel specialist services

  • Acts as a liaison with USU Human Resources office
  • Is cross-trained and provides backup support for payroll, employment action forms (EPAFs), and purchasing
  • Develops custom reports as requested by CPD Executive Director
  • Assists with special projects as requested
  • Provides administrative support to the Associate Director of Administration

Provides hiring/on-boarding/HR transactional services

  • Responsible for posting open positions on USU’s iCIMS system
  • Collects required hiring forms
  • Coordinates on-boarding for new employees (e.g. access requests systems, required training, office set up)

Acts as CPD leave manager

  • Sets up benefit eligible employees in MyTime
  • Reviews leave submissions and MyTime timesheets
  • Initiates timely updates to employee schedules

Develops and provides employee training

  • Provides training on CPD & USU policies to new/transfer employees
  • Develops department-wide trainings and seminars as needed to share changes in benefits or provide reminders of benefit policies
  • Create training guides for department employees on various subjects

Coordinates with Business Services, Human Resources and Controller’s Office personnel as needed, attends and positively participates in provided trainings and meetings

  • Maintains a strong and productive working relationship with staff within the department and college
  • Handles confidential information in a secure and professional manner
  • Manages assigned projects effectively and demonstrates reliability and strong work ethic

Prepares various documents such as contracts and agreements for document review/approval


Minimum Qualifications

  • Six years of directly related work experience; or an associate degree/technical training in business/finance area plus four years of directly related work experience or a business/finance bachelor’s degree plus a minimum of two years of directly related work experience. 
  • Offer contingent upon successful completion of a background check.

Preferred Qualifications

  • Experience in MyTime setting up schedules and/or as a USU leave manager.
  • Experience in Tracker/Miratech I9 system.
  • Experience in iCims, including setting up job postings.
  • Working knowledge of USU’s human resources policies
  • Working knowledge of USU’s purchasing policies.

Knowledge, Skills, and Abilities

  • Competent in the use of computer programs including Excel, Microsoft Office and other applications. Proven ability to create formulas and spreadsheets in Excel.
  • Strong interpersonal skills along with a demonstrated ability to work collaboratively with a diverse group of people.  Able to develop professional documents and accurate reports.
  • Able to create a team-based environment within the program, department, and college.
  • Experienced in managing multiple responsibilities and deadlines.  Able to organize work responsibilities and self-assess personal performance against target objectives.
  • Proactive in resolving issues, setting up processes, and providing high-level customer service.
  • Ability to take initiative, maintain confidentiality and work without close supervision.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.
  • Knowledge of University policies and procedures.
  • Excellent customer service skills.

The Center for Persons with Disabilities is one of the largest research and outreach centers at USU, and we are largely funded through grants, contracts, and fee for service programs.
