Job Description:

The Department of Special Education & Rehabilitation Counseling has an opening for a Business Assistant who will support the department by providing transactional support and processing in compliance with associated policies, procedures, and expectations under limited supervision/guidance.

This position offers opportunity for growth and career development and may be filled by a Business Assistant I or Business Assistant II depending on the knowledge and experience of the applicant. Refer to the “Qualifications” section below for specific details.

Coordinates with the Business Manager and the Department Head to timely and accurately perform the duties and responsibilities as specified, which may include the following:


Provides hiring/on-boarding/payroll services:

  • Submits timely and accurate job postings for hourly or salaried positions through iCIMS and Aggie Handshake.
  • Works with hires to collect required hiring forms.
  • Set up employees as needed in AggieTime, reviews transactions, and processes hourly payroll.
  • Sets up employees in MyTime and acts as leave manager. 

Provides purchasing services:

  • Coordinates with faculty and staff for processing EZ-Buy transactions as appropriate.
  • Collects receipts from other cardholders or delegates as assigned, reviews for policy and use, and attaches receipts in the p-card system.
  • Coordinates with purchasing on bids, request for quotes, moving expenses, etc.

Provides Support for ASSERT Autism Services program:

  • Assists in collecting/depositing payments for new hire background checks.
  • Deposits ASSERT donations and/or other revenue.
  • Bills monthly tuition for ASSERT families and consultations.
  • Provides other billing as needed for ASSERT.

Provides other financial support:

  • Maintains accurate equipment inventory and assists with annual audit.
  • Provides monthly reconciliation of designated indexes or provides other support to the Business Manager. 

Provides general clerical support:

  • Performs office duties, including answering phones, directing phone calls, routing students, visitors, and university personnel to appropriate individuals, data entry, filing, maintaining email lists, sending group emails, answering general questions about the department, and other general duties as assigned.
  • Assist the department head and other faculty by attending designated meetings, preparing correspondence memos, reports, and meeting minutes, and coordinating meeting schedules.
  • Schedule meetings as requested (in-person, tele-conference, video-conference).
  • Coordinates scheduling and details for all department events (e.g., retreats, open houses).
  • Prepares and monitors course textbook orders.
  • Serves as department IDEA administrator.
  • Serves as department Digital Measures representative.
  • Collaborates with the department head to prepare college and department annual reports.

Minimum Qualifications

  • To be considered at the Business Assistant I level, two years of directly related work experience with increasing responsibilities; or an Associate’s degree/technical training in a related field is required.
  • To be considered at the Business Assistant II level, four years of directly related work experience with increasing responsibilities; or a Bachelor’s degree in finance/business related area; or an equivalent combination of related education plus directly-related experience 
  • Proven proficiency in Microsoft Word and Excel

 Knowledge, Skills, and Abilities

  • Knowledge of accounts payable procedures.
  • Knowledge of accounts reconciliation and ability to reconcile accounts.
  • Knowledge of purchasing policies and practices for a public institution.
  • Skilled with computer programs, including spreadsheets, and relational databases.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.
  • Good organizational skills.
  • Ability to handle sensitive and confidential business data and personal information.
  • Ability to work without supervision.
  • Knowledge of University policies and procedures.
  • Excellent customer service skills.
