Job Description:

The Sorenson Center for Clinical Excellence is seeking a Coordinator II who will oversee reception desk coverage across the clinics that are part of the Sorenson Center.  The Coordinator will also provide direct clinic reception support on a regular basis. 


Responsibilities:

  • Provide coverage for clinic reception areas when short-staffed.
  • Coordinate coverage needs for 6 clinics and the information desk.
  • Supervise the information desk/clinic support representatives.
  • Communicate with a diverse client population about healthcare services, appointments, paperwork and payments.
  • Check-in clients, take payments and maintain electronic medical records.
  • Maintain and coordinate supply needs with all clinics; oversee and assist with organization and maintenance of storage spaces.
  • Oversee the organization of the mail room and overseeing mail distribution.
  • Schedule appointments for clients and meetings for administrative team. 
  • Maintain HIPAA training and standards, including maintaining confidentiality of client information.
  • Reserve and print parking passes. 
  • Answer incoming calls in a courteous and professional manner. 
  • Maintain safe and clean reception areas. 
  • Contribute to a team effort by communicating actions, irregularities, and needs.
  • Oversee the opening, closing, and maintaining the art gallery. 
  • Learn the locations of classrooms, clinics, conference rooms and therapy rooms in the Center. 
  • Assist and/or lead trainings regarding operational process implementation in the Center. 
  • Help with ongoing Center projects.  
  • Track and submit maintenance requests.  
  • Make regular suggestions that improve the Sorenson Center process. 
  • Other duties as assigned. 

Minimum Qualifications: 

  • Two years of experience in a reception or customer service setting
  • Basic understanding of HIPAA 

Preferred Qualifications:

  • Experience working in a health care setting
  • Prior experience in supervision of other employees
  • Prior use of an electronic medical record system

  • Ability to foster effective working relationships within a team environment.
  • Reliable, trustworthy, good worker.
  • Friendly, outgoing, people-person.
  • Independent worker.
  • Excellent spoken and written language skills.
  • Skilled in the use of computers.
  • Skilled at records maintenance.

  • Database management skills.
  • Knowledge of office management principles and procedures.
  • Ability to make administrative/procedural decisions and judgments.
  • Ability to coordinate and organize meetings and/or special events.
  • Knowledge of communication principles
